Privacy policy
Personal data submitted through registration, abstract, sponsorship, newsletter, and contact forms is used only to operate the conference. Payment card details are never stored by this website.
The data controller is Magnimind Inc, 585 Glenwood Ave, Menlo Park, California, United States.
- We collect the details you enter on our forms — name, email, organization, and anything you choose to add — plus the record of what you registered for or submitted.
- We use these details to deliver your registration, ticket, receipts, program updates, and any submission you make, and to answer your messages.
- Payments are processed by our payment provider. Your card details go directly to them and are never stored on this website.
- Sponsors and exhibitors receive your details only when you choose to share them, for example by having your badge scanned at their stand.
- Newsletter and update emails include an unsubscribe link in every message. You can ask us to correct or delete your details at any time by emailing info@aihealthcareconference.com.
- Service providers process only the information needed for registration, payments, email delivery, analytics, and video access. Information may be processed in the United States and is retained only as long as needed for conference operations, legal obligations, and financial records.
- EU and UK attendees may request access, correction, deletion, restriction, portability, or object to processing by emailing info@aihealthcareconference.com. You may withdraw optional marketing consent at any time.
Terms and conditions
These are the terms every attendee accepts and signs at checkout as part of the conference agreement (version 2027.1).
Registration and admission
Your pass admits one named attendee. Passes are personal; transfers are handled by the organizers on request. Registration is subject to the published refund and transfer policy.
Code of conduct
All attendees agree to follow the conference Code of Conduct. Harassment, discrimination, and disruptive behavior are grounds for removal without refund.
Photography, video, and audio release
The conference and its authorized partners photograph, film, live-stream, and record sessions, poster halls, and public areas of the venue. By attending you grant the organizers a perpetual, royalty-free, worldwide license to record and to use your image, likeness, voice, and any statements captured on site in recordings, highlights, on-demand content, publications, and promotional material, in any medium, without further approval or compensation.
Your likeness opt-out
If you prefer not to appear in promotional material, select the likeness opt-out offered at checkout or ask for an opt-out lanyard at on-site check-in. We will avoid using identifiable footage of you in marketing, and you may sit in the marked non-filmed seating. Incidental capture in wide crowd shots and live-streamed audience Q&A cannot be guaranteed to be excluded.
Recording by attendees
Attendees may take personal photos, but recording of presentation content is only permitted where the speaker has consented and the session is not marked embargoed or confidential.
Data and communications
We process your registration details to deliver the event, your ticket, and event communications, in line with the privacy policy. Sponsors receive your details only when you opt in by scanning at their stand.
Health, safety, and liability
Attendees must follow venue safety instructions. To the extent permitted by law, the organizers are not liable for personal injury, loss, or damage to property, and are not responsible for program changes or circumstances beyond their reasonable control.
On-demand membership — billing and cancellation
The on-demand membership costs $10 per month or $80 per year. It renews automatically at the end of each billing period until you cancel.
You can cancel at any time, in one step, from your account page. No email or phone call is required, and we do not ask you to complete a survey or speak to anyone first.
When you cancel, you are not charged again. Your access continues until the end of the billing period you have already paid for, and ends on that date. Part-used periods are not refunded.
Before each annual renewal we email you a reminder with the renewal date, the amount, and a direct link to cancel.
Code of conduct
The conference is a professional, harassment-free environment for all participants across academia, clinical practice, industry, and investment. The full code of conduct, including how to report a concern, is published on its own page.
Refund policy
Cancellations are handled on the sliding scale below, based on the date we receive your written request.

Refunds are issued to the original payment method. No-shows are not eligible for a refund.
Cancellation requests must be sent in writing to info@aihealthcareconference.com. Registrations may be transferred to an eligible replacement attendee up to the transfer deadline at no extra charge.
The same cancellation timing applies to Live Online registrations. An in-person attendee who can no longer travel and is outside the refund window keeps the digital access included with the registration: livestream access and 90 days of recording access.
